SUMMARY

This Outlook Add-in makes it easy to send files and folders of any size, directly from your computer, to anyone with an email address. 
 
This add-in will save you time, give you more control, more security, and it gives recipients more features than standard email file attachments.

HOW TO SEND FILES AND FOLDERS -- "ATTACH FILE LINK"

This feature is extremely easy to use! 

1. In Outlook, compose a new email message as usual, then click "Attach File Link" (this button appears on the toolbar in the Message menu or Insert menu.  A separate FilesAnywhere menu also has this option.  You can also send files and folders directly from the main toolbar in Outlook: just click "Send Files via FilesAnywhere" from the main toolbar.

2a. Enter your FilesAnywhere account Username and Password.  You can set the login to "remember" your info. If you set the login to "Remember username and Password", the next time you start Outlook and click on "Send Files" you will be automatically logged in. If you set the login to "Remember username only", then the system will auto-populate your username and prompt you for the password.

FilesAnywhere Professional or Enterprise Users: you must click on the "Set Default" or "Change" link and enter your numeric Client ID into the Client ID. You can contact your site administrator or call the tech support line to obtain the correct Client ID number for your organization.

2b. Single Sign On (SSO) Logins are supported using Active Directory, LDAP, OneLogin and Google oAuth. If you have a Single Sign On (SSO) Login, click on the "Single Sign On" button and enter your SSO email address. After your email address is validated, you will be presented with another screen where you can enter your password (if you are not already logged on using SSO Login).  You can set the login to "remember" your info. If you set the login to "Remember email address", the next time you start Outlook and click on "Send Files" you will be automatically logged in (if your OneLogin session is not active, you will however be prompted for your OneLogin password).

FilesAnywhere On Premise Users: you must click on the "Set Default" or "Change" link and enter your numeric Client ID into the Client ID. You can contact your site administrator or call the tech support line to obtain the correct Client ID number for your organization.

3a. Use the "Add Files" button to select the files you want to send. You can add as many files as you like to the list. You can multi-select files by keeping the CTRL button pressed while you select the files. 

3b. Use the "Add a Folder" button to select the folder you want to send. You can add as many folders as you like to the list, but, you can select only one folder at a time, so, to add multiple folders to the list, you will need to click the "Add a Folder" button multiple times. 

4. Click "Upload Now".  All files and folders will be uploaded to your account and a web link will be created. 

Security:  The program uses only SSL communications, for completely secure, encrypted file transfers. No special firewall settings are needed usually, but if your firewall software gives a warning, you can allow this add-in to communicate using SSL port 443.

5. A web link will be inserted into the email message you have open.  If run from the main toolbar in Outlook, a new message with the link will appear.  Type in the email recipients, subject and message text, and send the email as you normally send any email.

6. Recipients will receive the email quickly, since there are no actual files attached to the email - only a link.  Recipients simply click the link to download copies of the files and folders you have shared. 

 

Note:  The files and folders you selected to send do not need to remain on your local computer, since after the link is created, the files and folders are saved in your online storage account and that is where your recipients download the files and folders from when accessing the link in the email.

Default Settings:  You can change the default settings for File Share links by logging into your account on the web, and clicking the Profile button on the toolbar.  Click "FileShare Defaults" to change the default settings.  For example, you might want to change the View type to Media View, so recipients see thumbnails of picture files and view documents directly online; or check "Email notify me when FileShare links are used" to receive an email notification whenever a file is accessed.


BENEFITS

Speed:  Sharing files and folders with other people does not get any faster or easier than this.  Using this add-in from your computer uploads the files and folders, and prepares a link to recipients, all in one step. You do not need to login to your account via web browser -everything can be done directly from Outlook.  Also, once the file uploading stage is complete, recipients will get the email right away - there is no waiting for the files on the receiving email server.  Since the email is only a link, recipients access the link immediately and they can download the files and folders that you have shared on-demand.

No Size Limit:  Send files and folders of unlimited size (only limited by your total available space in your FilesAnywhere account). For example, you can easily send someone hundreds of files, several Gigabytes in size. Try that using plain email!  Many email servers will not handle files over 5MB or 10MB in size - this limitation can be encountered on the sending side or the receiving side of an email.  Use this Add-in to overcome all limitations.

High Security:  Files are always uploaded from you and downloaded by your recipients using an SSL encrypted channel. This is a completely secure connection between your computer and our server - the same used on banking websites.

File Tracking:  With regular email you can only request a read-receipt, which sometimes does not work.  Using this Add-in for Outlook, you can track when each file is accessed that you are sharing. Be notified via optional email notification, or have the system log the file access and see those records online when you login to your account.

More Features for Recipients:  You can share photos or graphics and recipients will see a photo album with thumbnails, and an online viewer for immediate picture viewing. Recipients can even click a Slideshow button and see a running slideshow of all pictures.

Multi-Tasking:  Send a large file or a whole group of files using this Add-in, and continue working in your email program while the files are uploaded.  With standard email, your email program is "frozen" while a large file is sent.  This Add-in was developed to use the latest multi-tasking features of Windows.


More Information

The program will automatically check for any updates on our server when you choose to run it in Outlook.  If an update is available on our server, it will prompt you to install the update automatically.
