A Closer Look at eForm Settings
Once you’ve created an eForm you can customize the settings to best suit your needs. For more information about creating an eForm, go here.

To reach the eForm settings
- Go to the eForm Dashboard
- Mouse over the eForm
- Click on the More button on the far right
- Click on Settings
Settings Sections
To change any of the settings, click on any of the sections at the top of the page.
Users & Security
This section allows you to manage security, users, groups, and permissions
Security
Tools to manage user access offering various authentication methods, and additional requirements.
- Type - allows you to set a password, One-Time Password via Email/SMS, or CAPTCHA protect your eForm
- Link Expiration - set an expiration date for the eForm link disabling access after a certain point
- Verification Text - require user to input text (such as a name) before they can fill out the eForm
- Checkbox Approval - require user to check the box (e.g. agreeing to terms of service) before continuing to the eForm
- Signature - requires a graphical signature before continuing to the eForm.
Users & Permissions
Manage which users have access to the form and what level of form permissions they are granted.
Note: Form permissions do not override field permissions
With the Users & Permissions tab you are able to grant other users varying levels of access to the eForm. You are also able to notify the users when they are added to the eForm share.
You may share an eForm with Restrict data view access to other users. The restricted user will have access to only those entries that are submitted by him or the entries in which he is the current assignee.
eForms Groups
Organize shared users into custom groups as needed. These groups will appear in the Assigned To field.
Advanced Settings
The Advanced Field Settings tab provides you with a way to set the field Conditional Logic and Unique Data configuration.
Conditional Logic
Define logical rules to hide fields based on the response of other fields.
By clicking Add Rule button you can add rules as per your requirement and select the form fields that should hide when the defined logical rules are satisfied.
- The rule can be set on fields of type: Single Line Text, Dropdown, Multiple Choice, Checkboxes, Extensible List, Scale, Number, Decimal, Date, Time, Currency, Percentage and Yes/No.
- These fields should be user input fields and should not be Calculated Fields.
- You will be able to hide fields of all types excluding the Page Break, Assignee, Group, Subject, Status, Priority, Due Date, Comment and Column fields of a Table field.
- You also have the option to provide html object IDs of custom form layout that should be hidden based on the rule.
- In view form, the hide field will be reflected in real time, i.e., the moment value of conditional logic rule field is changed.
Unique Data
The Unique Data tab provides you a way to define the fields or a combination of fields whose values will be unique within all submissions.
Note: Fields once selected as Unique will be marked as Required.
Forms & Folders
Use the Forms & Folders section to associate the eForm with a folder and use the form to capture metadata.
Notifications & Downloads
The Notifications section allows you to do the following:
A) Be notified when the eForm is submitted
B) Be notified when the eForm is accessed
C) Include a PDF attachment with the notification email
D) For custom html/pdf eForms, decide the format of what is delivered as the PDF attachment for C.
E) Send additional notification emails to pre-defined additional recipients
F) Send notification to email address(es) mentioned in the email type field(s).
G) Choose the format of the guest download. If it is a classic form, only the Classic option will be available.
eForm Links
The eForm Links section presents you with a URL to distribute via email and instant messaging programs and HTML code to embed the link in a webpage.
Send eForm
Click the Send eForm section to select your recipients, add/change the subject line and body of the email.
Link History
The Link History section displays, when the eForm link was sent, and to whom.
