How to use FilesAnywhere in ChatGPT

Note: This feature needs to be enabled in the Admin Console before use.

Note: You can't pull up information on your account profile or billing, and you cannot use ChatGPT to upload, download, edit, or delete files from your account. 

How to Connect to the App

1. Open ChatGPT
2. On the left, click on Apps
   
3. In the Apps search, type in "FilesAnywhere" and press enter
   
4. Click on the FilesAnywhere App
5. Click Connect
6. Follow the prompts and Allow ChatGPT access
7. Enter your Client ID and press Proceed
   
   Note: FilesAnywhere App in ChatGPT only connects up with Professional accounts
8. Enter your Username and Password and press Login
   
9. Now you're connected
10. To use the app to ask questions, click on the plus sign at the bottom of the chat window
11. Mouse over More
12. Click on the FilesAnywhere App
     

ChatGPT App Prompts

1. Search for files by keyword
   • Prompt: “Find files related to quarterly budget.”
   • Best for: simple name-based searches.
2. Search only files, not folders
   • Prompt: “Show me only files matching invoice.”
   • Best for: excluding folder hits.
3. Search only folders
   • Prompt: “Find folders named client archive.”
   • Best for: locating directory names.
4. Search file contents
   • Prompt: “Search inside documents for the phrase merger agreement.”
   • Best for: text-in-file lookup.
5. Search within a specific folder path
   • Prompt: “Search in Projects/2025 for presentation files.”
   • Best for: narrowing to one area.
6. Search by modification date range
   • Prompt: “Find files modified between 2025-01-01 and 2025-03-01.”
   • Best for: recent work or date filtering.
7. Search by size range
   • Prompt: “Find large files between 50 MB and 200 MB.”
   • Best for: storage cleanup or large assets.
8. Search with file type restriction
   • Prompt: “Find PDF files in my account.”
   • Best for: limiting results to a format.
9. Search using tags
   • Prompt: “Find files tagged finance, urgent.”
   • Best for: metadata-driven search.
10. Sort results by name
    • Prompt: “List matching files sorted by name.”
    • Best for: alphabetized browsing.
11. Sort results by newest first
    • Prompt: “Show the newest matching files first.”
    • Best for: recent edits.
12. Sort results by size
    • Prompt: “Show matching files sorted by size, largest first.”
    • Best for: storage analysis.
13. Fetch a specific file
    • Prompt: “Open the file /Reports/2025/Q1.xlsx.”
    • Best for: retrieving a known file.
14. Summarize a file
    • Prompt: “Summarize the contents of /Notes/project-plan.txt.”
    • Best for: quick understanding without reading the whole file.
15. Compare files
    • Prompt: “Compare file Q1.xlsx and Q2.xlsx.”
    • Best for: a quick comparison between multiple files.
